First: Scope of Application

This Privacy Policy applies to the use of the E-Bill platform, a software system for managing service subscriptions based on periodic readings, invoices, and collections, such as electricity, water, gas, and other subscription-based services. This policy covers the use of:

  • The web system
  • Mobile applications
  • Any services or integrations associated with the platform

Use of the platform constitutes explicit acceptance of this policy.

Second: Definitions

  • Platform:
  • The E-Bill system with all its software components.

  • User / Operator:
  • The entity or person authorized to use the system and manage data.

  • Subscriber:
  • The end customer whose service is managed through the system.

  • Data:
  • Any information entered, stored, or processed within the system.

Third: Data Collected

The following data may be collected or processed depending on usage:

    Note: No data is collected that does not serve the operation of the system.

How Data Is Used

Data is used for the following purposes:

  • Operating the platform and managing subscriptions
  • Issuing invoices and calculating consumption
  • Recording payments and updating balances
  • Providing operational and financial reports
  • Improving system performance and developing features
  • Enhancing account security and preventing misuse

Notice: The platform is responsible for the technical operation of the system, while the user is responsible for the accuracy of entered data and for obtaining consent from end subscribers to process their sensitive data through the system.

Fifth: The Platform's Role in Data Processing

E-Bill operates within two data processing frameworks:

  • User Data (Account Holders):
  • In this case, the platform acts as a Data Controller with respect to account creation and platform management data.

  • User's Customer Data (Subscribers):
  • In this case, the platform acts as a Data Processor on behalf of the user, where the user enters and manages their customers' data within the system.

Sixth: Offline Operation

The application supports offline operation where data is stored locally on the user's device.
Security Notice: The user acknowledges that the security of locally stored data is their personal responsibility, and the platform bears no liability for consequences resulting from device loss or breach while offline. When internet is available, data can be synced with servers for the purposes of:

  • Backup
  • Access from multiple devices
  • Service continuity

Seventh: Data Sharing

Data is not sold or rented to any third party. Minimal data may be shared with:

  • Hosting service providers
  • Messaging service providers
  • Electronic payment service providers
  • Official authorities upon legal request

Eighth: Information Security

The platform applies appropriate security measures to protect data, such as:

  • Permission management
  • Password protection
  • Monitoring unauthorized access attempts
  • However, absolute 100% security cannot be guaranteed for any technical system

Ninth: Financial Data Security and Processing

  • Data Encryption: We place the utmost importance on the privacy of your financial data. All payment operations are handled through globally secure encryption protocols in cooperation with Hi5Pay gateway.
  • Data Storage: E-Bill does not store any sensitive payment method information (such as wallet passwords or credit card details); this data is processed entirely through the secured environment of the payment gateway.
  • Data Sharing: Only the minimum required data is shared with Hi5Pay (such as invoice amount and mobile number) for the purpose of completing and verifying the financial transaction.

Tenth: Data Retention

  • Data is retained as long as it is necessary for system operation and service delivery
  • Financial records may be retained for longer periods for accounting or legal purposes

Eleventh: User Rights

The user may:

  • Modify data within the system
  • Export data if the feature is available
  • Delete local data from the device
  • Request account deletion or suspension
